Job Description:

The Bids and Contracts Administrator will provide administrative support to the Bids and Contracts function. The role focuses on processing opportunities, maintaining accurate records, supporting bid/no-bid documentation, and assisting with contract administration. This is a detail-focused administrative role requiring strong organisational skills, accuracy, and the confidence to communicate clearly and raise issues where necessary.

Job Responsibility:

  • Monitor opportunity portals and shared inboxes, processing incoming notifications and documentation
  • Maintain accurate trackers and records of all opportunities, bid decisions and contract documentation
  • Prepare and circulate bid/no-bid documentation using internal templates and guidance
  • Support the administration of contracts and due diligence documentation as required
  • Ensure all documentation is correctly filed, version controlled and stored
  • Communicate with internal stakeholders to request information and raise queries or issues promptly
  • Provide general administrative support to the Head of Bids and Contracts

Requirements:

  • Excellent organisational skills and attention to detail
  • Strong written and verbal communication skills
  • Confidence to raise queries and escalate issues when required
  • Ability to manage multiple tasks and meet deadlines
  • Competent in Microsoft Office and comfortable using online systems and portals
  • An interest in sales and business development
  • GCSE/O Levels
  • 1 year of vocational experience
