Owl Cyber Defense is seeking an experienced Benefits Administrator to serve as the primary administrator for our employee benefits and leave programs. You will manage day-to-day benefits operations, ensure compliance with federal and state regulations, coordinate with vendors, and provide guidance to employees and managers. You will work closely with the VP of HR to execute the organization’s benefits strategy and maintain a seamless employee experience across our workforce.
Job Responsibility:
Administer all employee benefit programs, including medical, dental, vision, life, disability, FSA/HSA, 401(k), and voluntary benefits
Oversee enrollments, qualifying life events, terminations, and benefit changes
Maintain accurate data across HRIS and vendor systems
perform regular audits and reconciliations
Provide guidance on complex claims, escalations, and plan interpretation
Review, reconcile, and process vendor invoices
resolve billing discrepancies through coordination with Finance and vendors. Partner with Payroll to ensure accurate deductions and reporting
Develop and deliver employee benefit education sessions and materials
Coordinate annual open enrollment, including system setup, testing, communications, and vendor management
Maintain benefit guides, FAQs, and internal communications content
Administer company leave programs, including FMLA, ADA, state-specific leaves, and company policies
Serve as primary contact for employees and managers regarding leave eligibility, documentation, and return-to-work processes
Coordinate with third-party leave administrators to ensure regulatory compliance
Maintain accurate leave records and timely communication with stakeholders
Support benefit and leave compliance with ERISA, ACA, HIPAA, COBRA, FMLA, and applicable federal and state regulations
Coordinate annual compliance activities, including Form 5500 preparation, nondiscrimination testing, and required notices, in partnership with brokers and the VP of HR
Maintain plan documents and ensure timely distribution of required disclosures
Requirements:
Bachelor’s degree in Human Resources, Business Administration, or a related field
Minimum 5 years of experience in benefits and leave administration preferably in a high-growth or technology environment in a multi-state or multi-site organizations preferred
Strong knowledge of benefits laws and regulations (ERISA, COBRA, HIPAA, ACA, FMLA)
Experience managing open enrollment and vendor relationships
Proficiency with HRIS/benefits platforms (ADP preferred)
Excellent analytical, organizational, and problem-solving skills
Strong interpersonal and communication skills
Ability to manage multiple priorities while maintaining attention to detail
Effective team collaboration skills
Active DoD security clearance or the ability to obtain
Ability to travel - <10% travel to other company offices
Hybrid work schedule with location in MD/VA/DC
