The Audio Visual (AV) Project Coordinator is responsible for the end-to-end management of audio-visual (AV) focused Information Technology (IT) projects. This role serves as the primary owner of the AV scope, guiding projects from initial intake and planning through execution and final turnover to Operations. As a key liaison between business stakeholders, technical teams, and vendors, the AV Project Coordinator ensures projects are delivered on time, within scope, and within budget while maintaining high technical standards for AV systems and infrastructure.
Job Responsibility:
Own and manage the full lifecycle of the AV scope for assigned projects, from intake through final handover to Operations
Define project scope and objectives in collaboration with stakeholders, ensuring technical feasibility of AV designs and solutions
Develop and execute detailed project plans to track progress, milestones, budgets, and deliverables
Manage changes to scope, schedule, and costs through structured change control processes
Coordinate internal teams and third-party vendors to ensure seamless project execution
Serve as a technical advisor for AV systems, providing guidance on system design, video conferencing infrastructure, and event support technologies
Communicate project status, risks, timelines, and cost forecasts to stakeholders, including executive leadership
Conduct risk assessments and implement mitigation strategies to minimize project impact
Maintain strong stakeholder relationships and serve as the primary point of contact for assigned projects
Create and maintain comprehensive project documentation
Identify and implement process improvements to enhance efficiency and accuracy in AV project delivery
Perform other duties as assigned and adhere to company policies and standards
Requirements:
Bachelor’s degree in Computer Science, Information Technology, or a related field and 4+ years of related experience in audio-visual technology and/or IT project management
Equivalent professional experience may be substituted for a degree
Proven success managing projects, including scope, schedule, budget, and risk
Strong technical knowledge of AV systems, system design, video conferencing infrastructure, and event support
Excellent written and verbal communication skills, with the ability to present complex technical concepts to diverse audiences
Strong analytical and problem-solving abilities
Proficiency in Microsoft Office Suite and general project management tools
Demonstrated ability to lead, influence, and manage change in a collaborative and positive manner
Nice to have:
CTS (Certified Technology Specialist) certification preferred but not required
