Job Description

The Associate Billing Operations Analyst is an entry level role within the Billing Operations job family. This role assists with analyzing the accuracy of data related to the billing process. The Associate Billing Operations Analyst supports the optimization, implementation and reporting on all billing activities. This is done by auditing data sets extracted from the billing system and review the information for accuracy.

Job Responsibility

  • Supports the implementation billing operations to maximize effectiveness and accuracy
  • Assists with auditing the integrity and accuracy of data entered into the system
  • Receives details instructions to monitor operation of the billing system
  • Assists with reconciling financial information, files and records to ensure the availability and accuracy of the information
  • Supports the implementation of written policies and procedures that govern billing operations
  • Receives detailed instructions to drive the implementation of new billing systems and/or integration of changes to existing billing system
  • Investigate and analyzes any collection matters raised by management
  • Processes new billing files and failed billing files
  • Monitors and corrects data incongruences that could directly impact the quality and billing operations processes
  • Receives detailed instructions to perform a variety of analytical functions including the review and management of large data sets to ensure billing accuracy and compliance with internal controls
  • Assists with continuous process improvement projects related to billing controls, quality and efficiency, and automation opportunities
  • Performs any other billing operations task as requested by management

Requirements

  • Bachelor's degree or equivalent in Finance or Accounting or related field
  • Entry level experience as a Billing Systems Analyst, Billing Operations Practitioner or Specialist
  • Entry level experience working with internal and external stakeholders
  • Entry level experience auditing processes, financial information and systems
  • Entry level experience working with the MS Office Suite, including MS Excel and MS Word
  • Hands-on billing application knowledge and experience
  • Entry level experience with tools such as SQL
  • Process orientated with an understanding of both financial and operational controls
  • Ability to manipulate large amounts of data and compile detailed reports
  • Has planning and organization skills
  • Ability to work under pressure and meet deadlines
  • Verbal and written communication skills

Build and maintain monitoring and alerting that surfaces data quality issues before they reach customers. Drive process standardization alongside Finance and Deal Desk to reduce billing complexity and manual intervention. Continuously refine the system to improve accuracy, automation, and reliability across the invoicing and billing lifecycle
  • Cross-Functional Partnership & Advisory: Serve as the connective tissue between finance, product, engineering, and GTM teams on all billing-related matters. Advise on how new products, discounting frameworks, payment structures, and bookings policies will function within the billing architecture. Proactively flag risks when business decisions could create downstream complexity. Own the vendor relationship, holding them accountable to SLAs and advocating for Qualia's needs on the roadmap
  • Billing Operations Documentation: Serve as the go-to owner of all things associated with systematic financial operations. Work with the billing team to build comprehensive operational documentation—runbooks, configuration guides, and process maps—so that billing system knowledge is institutional, not individual. Ensure billing data flows accurately across connected systems and that every team with a dependency on billing data has the visibility they need
  • Leverage AI for Operational Efficiency: Qualia is an AI first company. As a systems administrator, you will be charged with leveraging LLMs and AI to drive insights and operational efficiency for our front line collections and billing teams
