Premier Global Alternative Investment Firm/Asset Manager in Midtown Manhattan is seeking a new Full-Time/Permanent Assistant to join its Strategic Finance Team! This person will be supporting the Head of Strategic Finance in addition to a team of executives in the group. Candidates must have a minimum of 7-10+ years of applicable high-level executive administrative support experience working in financial services (required; ideally out of a large, recognizable firm; no jumpy resumes!) and a Bachelor's degree is required. They should be incredibly polished and professional, overly detailed, proactive, organized, accustomed to working in a fast-paced, dynamic environment, and possess excellent interpersonal and communication skills. Job Responsibility

  • Arrange complex travel plans and compose detailed itineraries, obtain necessary travel documents, and coordinate visas
  • Schedule and organize meetings, conferences, and off-sites, including all related logistics
  • Allocate and process expenses for executives, including American Express and Out of Pocket expenses using the Concur expense management system
  • Screen a large volume of incoming calls and greet guests in a professional and courteous manner
  • Prepare and edit relevant materials for team, including Word documents, PowerPoint presentations, and Excel Spreadsheets
  • Establish, develop, maintain, and update e-filing system
  • Handle recruitment coordination and logistics for new employees on the team in partnership with Human Capital
  • Compose strategic communications such as letters, memos, invitations, agendas, and correspondence related to all projects and on behalf of executives. Edit for accuracy and clarity of final copy
  • proofread for spelling, grammar, format for consistency, and make the appropriate changes
  • Manage work priorities independently and respond to business outside of normal business hours as needed
  • Perform other related general administrative tasks for executives as assigned and required
  • Use US Mail, FedEx, and other services to send and track priority mail
  • Coordinate closely with team and other assistants to provide phone coverage and back-up assistance
  • Allocate and code invoices using OneVue system as needed
  • Facilitate vendor onboarding process

Requirements

  • Minimum 7-10+ years of applicable high-level executive administrative support experience working in financial services (required
