The Assistant Spa Manager forms part of the management team and manages the daily activities of the Guerlain Spa, Fitness and Wellness area.
Job Responsibility
Participate in the sound professional management of the daily activities of the spa department
Manage good relations with staff members and colleagues within the department
Participate in training and development to ensure the ultimate care of the clientele
Welcome all hotel guests and member guests and register them correctly
Offer amenities and a tour of the facilities
Offer assistance with the use of equipment, as needed
Ensure that all service billing is carried out accurately and promptly
Act as a liaison with the front desk to ensure correct billing
Be able to supervise employees, advise them and impose disciplinary measures to motivate them and ensure compliance with Four Seasons standards and procedures
Evaluate and recruit required staff
Ensure all staff members have received adequate training and have the necessary skills before providing treatments or classes
Manage all interactions with members/guests with the highest degree of hospitality and professionalism, accommodating special requests if possible
Resolve customer complaints
Assist customers with any requests related to club or hotel services
Duly make all necessary reservations for services and activities required by the spa and fitness center
Properly use the reservation book, emails, voice messages and the failure system as communication methods to ensure member/guest satisfaction with services provided in the fitness area
Ability to administer first aid or CPR if necessary
Ensure compliance with daily, opening/closing checklists by making a round to ensure that all areas of the spa and fitness center are well-maintained, well-stocked and well-cleaned, to verify that equipment and fitness facilities have a high-quality presentation and that any repairs are carried out for hotel guests and members
Ability to follow appropriate payroll procedures
Ensure that safety procedures are followed and notify security in case of accident or injury
Enforce spa regulations
Handle, store and use all chemicals properly and safely
Manage other tasks or projects as deemed necessary by management and hotel staff
Attend training and assist other departments, such as locker rooms, and perform group exercises as per operational needs
Participate in necessary meetings, such as the operations club, the safety committee, as well as the 8:30 am operational meeting in the absence of the department head
Requirements
Good communication skills in French, both spoken and written
An advanced level of English is required to ensure oral and written communication with business partners, stakeholders, suppliers, and a predominantly international clientele
Solid knowledge of Spa Management and have creativity and strong marketing, communication and holistic skills
Strong understanding of the financial budgeting and forecasting process for a spa business
Have a good resistance to stress and manage it positively and effectively
Be comfortable in a fast-paced environment
Excellent team management skills are required to engage and motivate a diverse and dynamic team
Demonstrate a very good team spirit
Interest and ability to provide outstanding service to our internal, external customers and our suppliers
Have an excellent presentation and elocution, in French and English, and interpersonal skills to meet the expectations of a high-end clientele
Maintain a professional appearance and behave in a mature manner and with integrity at all times, including outside the hotel while on business
Attention to detail and ability to multitask in a dynamic environment
Be organized, meticulous and resourceful
Demonstrate creativity and initiative
Strong computer skills, including a working knowledge of MS Word, Excel, and Book4Time
3 to 4 years’ experience with diversity of Spa, Fitness and Wellness related management positions
College diploma preferably specializing in Business Management is encouraged, however, not essential if applicants have previous relevant work experience as therapist or esthetician
