The Assistant Property Manager supports the Property Manager in the day-to-day operations, financial administration, tenant relations, and vendor coordination across assigned assets. This role is designed for a highly organized, service-oriented professional who thrives in a fast-paced environment and is motivated to grow into a leadership role within commercial real estate operations. The Assistant Property Manager combines operational discipline, strong financial and administrative execution, a hospitality-focused approach to tenant interaction, and comfort leveraging technology to drive results.

Job Responsibility

  • Support tenant communications and day-to-day relationship management
  • Ensure all tenant requests are handled promptly, professionally, and with full follow-through
  • Assist with tenant onboarding, move-ins, move-outs, and coordination activities
  • Support tenant engagement initiatives and on-site events
  • Assist with budget tracking and financial reporting
  • Process invoices, coding, and approvals in accordance with established procedures
  • Support CAM reconciliations and accounts receivable follow-up
  • Monitor vendor billing and ensure compliance with contract terms
  • Maintain accurate and up-to-date financial records
  • Coordinate service vendors and track completion of maintenance items
  • Support management of work orders, preventative maintenance programs, and life safety documentation
  • Ensure vendor compliance, including COIs and contractual requirements
  • Conduct regular property inspections and identify operational issues
  • Utilize Asana Partners technology platforms (e.g., Yardi Voyager, tenant communication tools, work order systems)
  • Maintain accurate operational and financial data across systems
  • Assist in preparing monthly reporting packages and performance summaries
  • Help ensure transparency and consistency in reporting
  • Support Asana Partners operational standards and hospitality-driven culture
  • Collaborate closely with Property Managers, Engineers, and vendor partners
  • Contribute to a culture of collaboration, accountability, responsiveness, and intellectual curiosity that emphasizes hospitality and challenges conventional thinking

Requirements

  • 2–5 years of commercial property management experience preferred
  • Exposure to retail, mixed-use, or office environments preferred
