Job Description

We are looking for an organized and proactive Assistant Property Manager to join our team in San Juan Capistrano, California. In this Contract to permanent position, you will play a vital role in maintaining tenant satisfaction, overseeing property operations, and managing administrative tasks. This is an excellent opportunity to contribute to the success of a dynamic property management team.

Job Responsibility

  • Foster positive relationships with tenants by addressing concerns and coordinating move-ins, move-outs, and inspections
  • Support financial operations by assisting with Common Area Maintenance reconciliations, tenant billing, and vendor payments
  • Manage rent collections, follow up on overdue payments, and distribute late notices as needed
  • Maintain property management files, lease records, and ensure critical dates are accurately tracked
  • Conduct regular property inspections to ensure buildings are well-maintained and compliant
  • Process tenant maintenance requests by scheduling repairs and coordinating with vendors or the maintenance team
  • Ensure vendor and tenant insurance certificates are up-to-date and meet compliance standards
  • Collaborate on lease administration tasks, including preparing renewals and termination paperwork

Requirements

  • Previous experience in property management, with knowledge of commercial or residential property operations
  • Familiarity with lease administration processes and tenant relations
  • Proficient in administrative tasks, including file management and recordkeeping
  • Strong customer service skills, with the ability to address tenant needs effectively
  • Experience in financial management, such as billing and rent collection
  • Knowledge of HUD regulations and compliance standards is a plus
  • Excellent organizational skills and attention to detail
  • Ability to work collaboratively within a property management team

  • Monitor occupancy trends regularly and take timely action to reduce vacancy, support leasing goals, and maintain strong performance across assigned properties
  • Support outreach and property presentation efforts by promoting communities effectively and helping maintain an attractive, welcoming appearance throughout the site
  • Prepare leases, renewals, and income recertification documents for applicable housing programs while ensuring all submissions meet required deadlines
  • Guide residents through recertification steps when needed and maintain organized physical and digital files that are complete, accurate, and ready for review or audit
  • Work closely with subsidy administrators, housing partners, and third-party payers to secure required approvals, rental portions, deposits, and initial rent commitments
  • Assist with resident transfers, accommodation requests, and day-to-day concerns while delivering responsive service and escalating issues appropriately
  • Track maintenance completion, preventive service, inspections, and unit turnover timelines to help ensure homes are turned and serviced within company standards and safe work practices are followed
  • Partner with the Property Manager and internal teams to support overall site operations, share effective practices, and address market-rate pricing or leasing adjustments when applicable
