Job Description

Join JLL's Property & Asset Management team as an Assistant Property Manager, supporting the delivery of exceptional customer service and day-to-day commercial operations across two premier Melbourne CBD properties: 440 Collins Street and 459 Little Collins Street. This fixed-term (6-months), part-time (3-days per week) role offers an excellent opportunity to develop your property management career whilst working closely with experienced General Manager, Engineering Manager, and Finance Manager professionals in a collaborative team environment.

Job Responsibility

  • Serve as the primary point of contact for tenant enquiries across both properties
  • Support tenant communication through building portals and email notices
  • Coordinate tenant events and community engagement activities
  • Conduct regular tenant check-ins and assist with Customer Retention Plans
  • Support Annual Customer Survey delivery and action plan implementation
  • Assist with lease administration, rent roll management, and invoicing verification
  • Support monthly debt management and coordinate licence agreements
  • Help prepare quarterly reports and budget variance analysis
  • Collaborate on tenant service requests and capital expenditure tracking
  • Process and verify supplier invoices for accuracy and authorisation
  • Maintain vendor records and coordinate three-way matching processes
  • Assist with month-end accruals and expense allocations
  • Support budget monitoring activities
  • Maintain accurate records in property management systems (MRI, Prism)
  • Assist with tender processes and contractor coordination
  • Support compliance documentation and prepare meeting materials

Requirements

  • 2-3 years' experience in commercial, industrial, or retail property management
  • Victorian Agents Representative Licence (or willingness to obtain)
  • Strong computer skills (MS Word, Excel, Outlook) and property management system experience (MRI preferred)
  • Excellent written and verbal communication skills
  • Strong attention to detail and accuracy in financial processing
  • Customer service excellence mindset with exceptional interpersonal skills
  • Tertiary qualifications in business, property, or related discipline
  • Understanding of Melbourne commercial property market and lease structures
  • Experience with accounts payable processes
  • Ability to prioritise work and manage multiple tasks across multiple properties
  • Strong organisational abilities and proactive problem-solving approach
  • Collaborative team player with flexibility to adapt to changing priorities
