Job Description:

Assistant Project Manager position at MGAC, a global boutique consultancy. The role involves supporting a large, multi-phased project in San Antonio, TX, with a focus on documentation, financial records, and project coordination.

Job Responsibility:

  • Support the Controls Manager and project management team on a large, multi-phased project by coordinating documentation, processing invoices, and maintaining accurate financial and project records
  • Assist with the preparation, review, and submission of invoices, purchase orders, financial commitments, and supporting documentation to the client’s internal accounting team
  • Maintain organized project files, including drawings, meeting notes, change orders, logs, reports, and other documentation that reflects project progress
  • Coordinate project schedules, meetings, and calendars
  • attend meetings and prepare meeting notes as needed
  • Support the development of monthly client reports, including data validation and coordination with multiple team members
  • Communicate with owners, architects, contractors, and vendors as needed to support project activities
  • Assist in general project coordination, internal/external communications, and team organization
  • Contribute to a collaborative and high-performing team environment by identifying and removing barriers to success
  • Manage multiple tasks and deadlines in a fast-paced environment while maintaining accuracy and attention to detail
  • Perform additional duties as required to support the successful delivery of the project

Requirements:

  • Excellent organizational, problem-solving, verbal, written, and interpersonal communication skills
  • Strong proficiency in Microsoft Office, especially Excel (data entry, management, reconciliation, and quality control), Word, and PowerPoint
  • Experience creating spreadsheets, tools, or templates to support project management and budget tracking
  • Bachelor’s or Associate degree preferred
  • relevant experience considered
  • 2+ years of experience in construction, project controls, accounting, or a related field preferred
  • Basic understanding of construction operations such as cost tracking, scheduling, estimating, or document control
  • Demonstrated ability to follow through on tasks, maintain meticulous records, and uphold consistent processes
  • Positive, proactive attitude with strong customer service orientation
  • Ability to work collaboratively and contribute to team success

Nice to have:

Familiarity with project management software (e.g., Procore), Microsoft Project, Adobe tools, or CAD is a plus
