Job Responsibility:
Manage complex calendars and coordinate internal and external meetings for the legal talent team
Handle administrative tasks including invoice processing, expense tracking, and visa reconciliation
Support the execution and planning of new hire orientation and onboarding programs for students and lawyers
Prepare and manage sensitive documents such as contracts, reports, and personnel files
Organize and maintain electronic records and filing systems within the legal document management platform
Draft, proofread, and format internal and external communications to maintain a professional firm image
Assist with recruitment logistics, including scheduling interviews and maintaining candidate communications
Serve as a primary point of contact for candidates to ensure a positive and professional experience
Help organize recruitment events such as campus fairs, networking sessions, and lateral hiring initiatives
Support the planning of professional development sessions, including CLE training for lawyers
Compile and analyze data within the talent management system to support reporting and strategic initiatives
Coordinate logistics for firm-wide events, including catering, materials, and communications for retreats or seminars
Act as a liaison between the legal talent team and other internal departments or external vendors
Assist with ad hoc human resources projects related to process improvement and system implementation
Requirements:
A minimum of 2 years of work experience in a professional services environment (e.g., legal, consulting, or finance)
Completion of a post-secondary education program is strongly preferred
Demonstrated interest and enthusiasm for supporting legal recruitment and training events
Proven track record of handling confidential information and managing priorities for senior stakeholders
Flexibility to work overtime occasionally as required by the recruitment cycle or firm events
Availability to work standard hours of 9:00 am to 5:00 pm (or agreed upon 8-hour shift)
Commitment to working in a hybrid model with at least 3 days per week in the Toronto office
Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Adobe
Strong aptitude for learning new software, specifically applicant tracking systems (ATS) and HRIS platforms
Exceptional organizational abilities with an acute attention to detail
Proven multitasking and prioritization skills within a deadline-driven legal environment
Excellent verbal and written communication skills suitable for a professional services firm
Sound judgment and the ability to work both independently and as part of a collaborative team
