Job Description

Our client is a respected financial services organization that fosters a collaborative work environment. They are leaders in their field and are seeking a career Assistant to support a Partner and 2 other executives. They are looking for a polished, professional Assistant who thrives in high-touch, high-expectation environments. In this role, you will provide seamless support to a top-level executive, managing the day-to-day with discretion, efficiency, and style. This is a true career assistant role. Seeking candidates with 15-20+ years of experience.

Job Responsibility

  • Manage executive(s) calendar, scheduling, and high-level correspondence
  • Coordinate international and domestic travel, accommodations, and detailed itineraries
  • Handle expenses, reporting, and confidential documents with the utmost professionalism
  • Liaise with both internal teams and external partners, always representing the executive with polish
  • Anticipate needs, troubleshoot proactively, and ensure no detail is overlooked
  • Screen a large number of incoming calls
  • Prepare and edit correspondence for the team
  • extreme attention to detail is a must
  • Assist with special projects, event coordination, and internal communications
  • Compose strategic communication both internally and externally on behalf of executives

Requirements

  • Bachelors Degree
  • Extensive knowledge of MS Outlook and profieint in Excel, Word and PowerPoint
  • 15-20 years of experience as an Administrative/Executive Assistant
  • Impeccable organizational and time-management skills.
  • Exceptional written and verbal communication skills.
  • Professional presence, discretion, and a “white-glove” service mindset.

  • Identify collection issues and order validation exceptions requiring escalation, and proactively resolve concerns such as past-due balances, exceeded credit limits, and master data discrepancies by collaborating with customers, operations, and sales teams
  • Oversee customer credit lines, collections activity, and account balances to ensure adherence to established credit limits and payment terms while minimizing credit risk exposure
  • Support customer negotiations involving severely aged balances to maximize collections and reduce bad debt risk
  • Review and recommend bad debt write-off amounts for the allowance for doubtful accounts reserve
  • Extend credit to customers within the approved authority limits and approve credit inquiries
  • Identify the root causes of delinquency and lead action plans to drive end-to-end resolution
  • Communicate employee training needs and partner with the process lead to coordinate training plans
