Job Description:

We are looking for a detail-oriented Assistant Bookkeeper to join our team on a part time contract basis in Sonoma, California. In this role, you will play a key part in maintaining accurate financial records, ensuring timely expense tracking, and supporting invoicing processes. This position requires strong organizational skills and the ability to work collaboratively with both onsite and remote teams.

Job Responsibility:

  • Review and verify daily expenses, assign them to appropriate customers or administrative accounts, and apply relevant general ledger codes
  • Scan and organize expense documentation in shared folders for remote accounting access
  • Monitor daily labor reports to ensure all employee hours are accurately logged and assigned to active projects
  • Collaborate with employees to address any missing labor hours before the end of the day or the following morning
  • Conduct weekly checks to confirm all daily expenses and labor reports are up-to-date and complete
  • Address gaps in reporting and follow up with team members as needed
  • Assist in drafting monthly invoices by transferring project descriptions and hours from management software to QuickBooks for review
  • Support accounts payable and accounts receivable tasks, including tracking and reconciling transactions
  • Perform bank reconciliations to maintain accurate financial records
  • Work closely with management and remote accounting teams to ensure smooth financial operations

Requirements:

  • Minimum of 2 years of experience in bookkeeping or a related financial role
  • Proficiency in QuickBooks for invoicing and financial management
  • Strong knowledge of accounts payable and accounts receivable processes
  • Experience performing bank reconciliations and maintaining accurate financial records
  • Familiarity with project management software and labor tracking systems
  • Ability to work collaboratively with remote accounting staff and onsite team members
  • High attention to detail and excellent organizational skills
  • Strong communication skills to effectively follow up with employees and management
