Job Description

The Asset Administrator is responsible for the operational administration, tracking, governance, and lifecycle management of IT assets supporting PMC-managed services customers. The role ensures all customer assets are accurately recorded, monitored, maintained, and managed throughout their operational lifecycle in line with customer requirements and PMC operational standards. The Asset Administrator acts as a central coordination point for asset management activities across customer estates, maintaining visibility of asset inventory, stock levels, device movements, warranty status, and lifecycle information. The role supports operational service delivery by ensuring asset records remain accurate, compliant, and aligned to customer environments. The role supports asset management across multiple technology areas, including POS devices, PEDs, tablets, printers, laptops, desktops, servers, networking equipment, spare devices, and field engineering stock. Through proactive asset governance, reporting, lifecycle tracking, and operational coordination, the Asset Administrator helps ensure customer environments remain organised, compliant, and operationally effective.

Job Responsibility

  • Maintain accurate asset records and inventory databases across customer environments.
  • Manage the lifecycle of IT assets, including allocation, deployment, replacement, disposal, and decommissioning activities.
  • Track asset movements between stores, offices, engineers, and operational locations.
  • Ensure all asset information is accurately recorded and updated within asset management systems and operational tooling.
  • Maintain visibility of spare devices, operational stock, and customer asset inventory.
  • Monitor and manage stock levels across operational and customer environments.
  • Support stock reconciliation, inventory validation, and asset auditing activities.
  • Ensure stock records remain accurate and aligned to operational requirements.
  • Support the coordination of replacement devices, hardware refresh activities, and new equipment allocation.
  • Assist with asset disposal processes and ensure retired devices are managed in line with customer and PMC governance standards.
  • Produce regular asset reporting, inventory updates, audit information, and operational summaries.
  • Support customer audit requests and compliance activities relating to asset management and inventory governance.
  • Track warranty status, lifecycle dates, and asset ageing information.
  • Identify discrepancies, risks, gaps, or inaccuracies within asset records and escalate where appropriate.
  • Ensure asset governance processes are followed consistently across customer environments.
  • Support IMAC activities, including device tracking, allocation, and asset administration.
  • Support new store openings, relocations, closures, and operational rollout activities from an asset management perspective.
  • Coordinate asset-related administrative activities supporting operational service delivery.
  • Attend operational or customer calls where required to provide updates on asset status, reporting, or inventory activities.
  • Work closely with Service Delivery Managers, Technical Leads, and operational teams to maintain accurate operational visibility of customer assets.
  • Identify opportunities to improve asset tracking, governance processes, reporting accuracy, and operational efficiency.
  • Support continual improvement initiatives relating to asset lifecycle management and operational processes.
  • Contribute to improving asset governance standards, reporting quality, and operational documentation.

Requirements

  • Proven experience in Asset Management, Asset Administration, Inventory Management, or Operational Support role within an IT services or managed services environment.
  • Experience managing IT asset inventories across customer or operational environments.
  • Experience tracking and managing hardware lifecycle activities, including deployment, replacement, and disposal.
  • Strong organizational and administrative skills with high attention to detail.
  • Experience producing reports, inventory updates, and operational tracking information.
  • Experience supporting audits, compliance activities, or governance processes.
  • Strong working knowledge of Microsoft Excel and reporting tools.
  • Experience using ITSM or asset management platforms such as Freshservice, or similar tooling.
  • Ability to manage multiple priorities within a fast-paced operational environment.
  • Strong written and verbal communication skills.

Nice to have

  • Experience supporting retail or multi-site customer environments.
  • Familiarity with POS hardware, PED devices, tablets, printers, networking equipment, and end-user devices.
  • Experience supporting IMAC or store rollout activities.
  • Knowledge of IT asset lifecycle management best practices.
  • Experience using reporting or monitoring platforms such as Splunk.
  • Awareness of ITIL service management principles.
