This pivotal role is responsible for the end to end management of official correspondence and records, in strict accordance with statutory requirements. As a primary point of contact, you will facilitate the seamless exchange of data between various State Government Departments.
Job Responsibility
Records & Systems Management: Reporting of all hardcopy and electronic correspondence using the Electronic Document Records Management System (EDRMS)
Workflow Integrity: Ensure all correspondence routed for action is comprehensive, including all necessary supporting documentation and historical context
Compliance & Archiving: Manage official records in strict adherence to legislative frameworks and internal policies
Stakeholder Engagement: Develop and maintain professional working relationships with colleagues and external stakeholders
Executive Support & Reception: Maintain a sophisticated reception service, ensuring all guests and callers receive a professional experience that aligns with Department protocols
Continuous Improvement: Proactively identify opportunities for business process innovation, including the development and refinement of office procedures
Requirements
Technical Proficiency: Extensive experience in records management and the navigation of complex EDRMS platforms
Administrative Precision: Strong attention to detail and the ability to manage high volumes of information without compromising quality
Communication & Protocol: Highly developed interpersonal skills and the ability to exercise judgment and discretion when dealing with sensitive information and high level stakeholders
Adaptability: The capacity to manage competing priorities in a fast paced, time sensitive environment
