Job Responsibility
Coordinate and optimize travel logistics for team members and leadership, ensuring alignment with business priorities
Manage and analyze expense submissions, ensuring accuracy, compliance, and timely processing
identify trends or discrepancies as needed
Create, track, and monitor purchase requisitions, provide status updates and ensure timely completion
Support onboarding processes by coordinating logistics, preparing materials, and ensuring a seamless new hire experience
Contribute to workforce administration by monitoring timecard submissions and supporting reporting and compliance activities
Coordinate team events, meetings, and catering logistics to support operational effectiveness
Manage and track IT service requests for new hires and team members, ensuring timely resolution and escalation when required
Monitor office and IT supply usage, analyze needs, and coordinate replenishment to maintain operational continuity
Support meeting and workspace coordination, including conference room planning and logistics
Track and follow up on key operational activities, ensuring deliverables are completed and deadlines are met
Compile, validate, and maintain data for reporting purposes
support the preparation of dashboards and summaries
Develop and maintain tracking tools, databases, and distribution lists to support team efficiency and decision-making
Identify opportunities to improve administrative and operational processes and contribute to continuous improvement initiatives
Support ad hoc analysis and coordination activities aligned with team priorities
Requirements
post-secondary degree in business administration, management, or a related field
minimum of five (5) years of experience in coordination, operations, or analytical support role within a complex environment
strong proficiency in Microsoft Office (Excel, PowerPoint, Word, Outlook)
fluent in both French and English, written and spoken
recognized for strong organizational, prioritization, and problem-solving skills
sound judgment and attention to detail in managing multiple competing priorities
proactive, solutions-oriented approach
handle sensitive information with a high level of professionalism and discretion
thrive in a fast-paced, collaborative environment and build strong working relationships across teams
