We are seeking a highly organized, proactive Agency Coordinator to support our Executive Team and core service departments including PR, Paid Media, Social Media, and Client Services. This role is the connective tissue of the agency, helping keep people, projects, and priorities moving smoothly. Job Responsibility

  • Provide day-to-day administrative and operational support to the Executive Team
  • Manage calendars, meeting scheduling, agendas, errands and follow-ups
  • Assist with internal communications, meeting notes, and action-item tracking
  • Support agency-wide initiatives, events, and special projects
  • Act as a liaison across PR, Paid Media, Social Media, and Client Services teams
  • Track deadlines, deliverables, and internal workflows to ensure accountability
  • Help coordinate internal status meetings and ensure teams are aligned
  • Maintain shared documents, trackers, and systems
  • Assist account teams with onboarding materials, timelines, and documentation
  • Help prepare presentations, reports, and client-facing materials
  • Support client communications as needed (scheduling, follow-ups, logistics)
  • Ensure internal systems (CRM, project management tools) are updated and accurate
  • Assist with media lists, coverage tracking, reporting, and coordination
  • Support paid media and social teams with asset organization, trafficking support, and reporting logistics
  • Help manage open jobs, approvals, and internal review processes

Requirements

  • 2+ years experience in an agency, professional services, or fast-paced office environment
  • College degree in Journalism, Communications, Advertising, etc.
  • Exceptional organizational skills and attention to detail
  • Strong written and verbal communication skills
  • Ability to manage multiple priorities and deadlines simultaneously
  • Proficiency with Microsoft Office and Google Workspace (PowerPoint, Excel, Docs, Sheets)
  • Experience with project management tools (Monday.com, or similar) a plus
  • CRM experience a plus!!
