Purpose of Your Job Position: The primary purpose of your job position is to assist the Admissions Director in developing census and quality mix by providing prospective residents and/or responsible parties with appropriate information and assistance to the nursing center, in accordance with current federal, state, and local standards, guidelines and regulations, and Solaris HealthCare’s established policies and procedures.

Job Responsibility

  • Completes all assigned tasks in a timely manner as instructed by supervisor
  • Adheres to work schedules in completing and performing assigned tasks
  • Cooperates with department personnel to ensure services can be adequately maintained to meet the needs of residents
  • Create and maintain an atmosphere of warmth, personal interest and positive emphasis, as well as a calm environment throughout Solaris HealthCare
  • Treats residents, residents family members, visitors and fellow employees with courtesy, respect and dignity
  • Meets with Supervisor on a regular basis to assist in identifying and correcting problem areas and/or improving services
  • Notifies facility when late arrival to or absence from work according to established center policy
  • Adheres to established employee policies
  • Adheres to established dress code
  • Meets acceptable center attendance requirements
  • Ensures that all care is provided in privacy
  • Alerts residents before entering residents rooms
  • Reports all grievances and complaints made by residents to supervisor
  • Reports all allegations of resident abuse and/or misappropriation of resident property
  • Handles walk in or telephone inquiries and documents on the inquiry logs
  • Follows up on inquiries by contacting case managers via telephone or through electronic referral systems at direction of Admissions Director
  • Conducts tours of the center, documents clinical and financial information on the inquiry form for follow up at direction of Admissions Director
  • Participates in community outreach events by greeting guests, setting up, offering tours and other duties as assigned
  • Uses formal waiting list policy and keeps future reservations for residents
  • Reviews list of unoccupied beds and makes preadmission reservations according to type of case and accommodation required
  • Ensures that a model room is maintained in the nursing center at direction of Admissions Director
  • Maintains necessary knowledge of served market areas, resident origin, and major referral sources
  • Gathers demographic or clinical information from social worker, floor nurse or family prior to admission at direction of Admissions Director
  • Enters new patient information into Matrixcare and scans/uploads required documents in a timely manner
  • Verifies primary and secondary insurances, checks FDLE at direction of Admissions Director
  • Assumes responsibility for timely and accurate completion of admission contract within 48 hours under supervision of Admissions Director
  • Explains differences in rates and charges, services and nursing home policy regarding payment of bills
  • Provides copies for families regarding limited liability treatment policy and legal surrogate
  • Gives families list of department heads and resident handbook, interprets regulations
  • Primary responsibility for presentation of admission agreements to new admissions within 48 hours
  • Contacts family of confused resident and schedules packet signing prior to or on day of admission
  • Requests and secures legal paperwork such as health care surrogate, durable power of attorney
  • Delivers copy of admission contract to resident or emails as per request
  • Checks each room to ensure new admission readiness and reports flaws
  • Proficient in Matrix, MVP, FDLE, all payer verification systems, Entrypoint, and all electronic referral systems
  • May assist Administrator in contacting families after admission and discharge to determine satisfaction
  • Provides timely follow up on family or guarantor complaints
  • Ensures Greeter Club/First Impression Program is in place at direction of Admissions Director
  • Assists Admission Director in training the Admission team
  • Orders, copies, and assembles admissions forms & booklets
  • Provides support to Care Transition Coordinator by maintaining inquiry logs, tracking inquiries
  • Contributes articles to center newsletter and sends newsletters to referral sources
  • Assists Admission Director with planning, coordinating, and executing community and referral source events
  • Reports observations concerning structural, equipment and furniture defects and malfunctioning
  • Coordinates work of department with work of other departments
  • Attends and participates in staff meetings, departmental head meetings, or other center meetings as directed
  • Maintains confidentiality of necessary information
  • Utilizes supplies and equipment properly and without waste
  • Thinks and acts calmly and logically to meet unusual occurrences
  • Performs any miscellaneous work assignments as required
  • Participates timely in in service training classes
  • Attends and participates in continuing educational programs
  • Participates in annual Solaris HealthCare in service training programs

  • College degree preferred
  • Sales experience, particularly in health care services, products or pharmaceuticals is desirable
  • Familiarity with long term care and/or health care services useful
  • This role requires Florida AHCA Clearinghouse background screening
