The Admissions Assistant will play a key role in providing a welcoming, first-class experience to prospective parents and anyone enquiring about joining Westonbirt Senior School. Working under the guidance of the Head of Admissions, they will also support the wider team with administrative tasks to help the department run efficiently.
Job Responsibility:
Being the first point of contact and trusted guide for prospective families, while delivering personalised and professional communication throughout the admissions journey
Developing genuine connections with parents and pupils, understanding their individual needs and aspirations
Coordinating school tours showcasing our strengths and unique offerings, tailoring them to each family’s specific interests
Ensuring a seamless and positive experience through the complete admissions process from initial enquiry to onboarding
Responding promptly and professionally to all enquiries, demonstrating excellent telephone and written communication skills. Providing clear and supportive explanations of admissions processes and procedures, ensuring families feel guided at every stage
Preparing for and supporting admissions events including Open Days, taster days, assessment days, and induction events
Accurately maintaining and updating our school database (iSAMS) as well as our digital filing system
Supporting the upkeep of admissions spreadsheets and documentation with precision, ensuring deadlines are consistently met, safeguarding sensitive data and documents in full compliance with GDPR regulations
Ensuring all administrative processes run smoothly to support the wider Admissions team
Requirements:
Professional administrative experience
Effective and efficient in processing data through the use of Excel, Word, iSams, mail-merge and information management systems
Excellent organisational skills with the ability to multitask and work well under pressure whilst maintaining a high level of accuracy
A high standard of personal presentation
Ability to accurately develop and maintain record keeping systems
Experience in working within a school environment is preferable but not essential
Excellent customer service skills, telephone manner and the ability to quickly build relationships
A great communicator
Willingness to learn new tasks with flexibility of approach and a positive attitude
Excellent verbal and written English skills, with an eye for detail
A proactive worker, who is able to work independently as well as part of a larger team
