Reporting to the Operations Manager, you will play a key role in welcoming customers and drivers to the site while ensuring all vehicle and customer information is accurately recorded. The role also involves providing general office support to the Weighbridge team as required.
Job Responsibility:
Carry out a range of administrative duties including filing, post handling, data entry, record management, invoice processing, maintaining compliance records including weekly RTD reporting
Manage the weighbridge, producing accurate tickets for all vehicle movements and reporting any overweight or operational issues
Maintain accurate records within the in-house database and ensure all weighbridge equipment operates correctly, reporting any faults or issues without delay
Check inbound and outbound documentation to ensure compliance with environmental permits and relevant legislation
Ensure all drivers and visitors follow PPE requirements and site rules, registering visitors and arranging inductions when needed
Follow all health, safety, and environmental procedures, including correct PPE use and reporting of accidents, incidents, and near misses
Respond to telephone and email enquiries professionally and efficiently
Liaise regularly with the Transport Manager and other departments to support operational needs
Monitor customer accounts and prevent transactions on credit-held accounts unless authorised
Support HR and Health & Safety administration, including maintaining accurate training, licence, and compliance documentation in line with data protection requirements
Requirements:
At least two years' experience in transport operations or a strong working knowledge of the waste management sector
Willingness to develop and maintain a solid understanding of environmental permits and regulatory requirements
Strong administrative skills with excellent attention to detail and the ability to manage multiple tasks effectively
Clear, confident communication when dealing with drivers, customers, colleagues, and external partners
High level of numeracy and literacy skills with excellent working knowledge of Microsoft Word, Excel and Outlook
Ability to use databases and internal systems effectively, or a willingness to learn new platforms quickly
Flexibility with working hours to support smooth and efficient site operations
Good understanding of HSE procedures and responsibilities
A collaborative team player who supports colleagues and management, including assisting with training and providing cover when required
Proactive, self-driven approach to personal development, with a willingness to contribute ideas that enhance systems and processes
Full UK Driving license
