Our client, a reputable organisation based in Bishop's Stortford, is seeking an Administrator to join their team. As an Administrator, you will play a critical role in supporting the day-to-day operations of the office, ensuring smooth and efficient running of operational processes.

Job Responsibility

  • Creating clear, user-friendly Operation & Maintenance (O&M) manuals that turn complex technical information into accessible guides for clients and internal teams
  • Seamlessly managing the flow of stock by booking orders into the system and coordinating the dispatch of materials, ensuring everything is where it needs to be, when it needs to be there
  • Proactively ordering essential equipment from trusted suppliers, balancing quality, cost, and delivery timelines to support smooth project execution
  • Organising delivery notes and coordinating delivery slots to ensure materials arrive on time and in the right place, keeping projects on schedule
  • Handling incoming phone calls with professionalism and efficiency, directing queries to the appropriate team members and ensuring excellent communication
  • Planning and managing diaries to keep schedules running smoothly, coordinating meetings and aligning team availability
  • Scheduling call-outs and site installations with precision, ensuring field teams are deployed effectively and client needs are met promptly
  • Managing delivery documentation to ensure accuracy, supporting smooth logistics and project tracking
  • Booking accommodation for staff with attention to comfort and convenience
  • Printing and preparing a variety of documents, from technical sheets to client-facing materials, ensuring everything is professional and presentation-ready
  • Providing proactive, day-to-day support to managers, helping them stay organised, informed, and focused on strategic priorities
  • Coordinating vehicle repairs and maintenance to keep the company fleet safe, reliable, and fully operational
  • Assisting with the preparation of quotations and tenders
  • Scanning and digitally archiving documents to maintain an organised, accessible, and compliant filing system
  • Conducting regular stock checks to ensure accurate inventory records and support effective procurement planning
  • Chasing updates on materials and equipment from suppliers, ensuring timely delivery and keeping all stakeholders informed

Requirements

  • Proven experience as an Administrator or similar role
  • Strong organisational skills with the ability to prioritise tasks and meet deadlines
  • Excellent attention to detail and accuracy
  • Proficient in using Microsoft Office suite (Word, Excel, PowerPoint, Outlook.)
  • Outstanding communication and interpersonal skills
  • Ability to work independently and as part of a team
  • Proactive and solution-oriented mindset
  • High level of integrity and professionalism
