The Bladder and Bowel Service is a dynamic and developing facility where an enthusiastic team of specialist nurses provide education, advice, support and clinical care for patients across and health and social care settings within Nottingham City. We are looking for an experienced, passionate, motivated and conscientious person to join this established team and provide administrative support. You will be working to support the Bladder and Bowel Specialist nurses with comprehensive administrative tasks and be a main point of contact and coordination for the clinicians and patients using the service; an excellent telephone manner is essential. In addition, you will have responsibility for coordinating prescriptions for continence products and arranging appointments for patients. You will need to demonstrate excellent interpersonal and communication skills. This is a busy service, and you must be able to prioritise tasks and manage time effectively; you must also be able to work flexibly within the team ensuring cover during the service hours. Experience of using Systm One would be beneficial. Confidence in managing own workload in a timely and effective way, whilst dealing with patients / carers in a caring and professional manner is essential.
Job Responsibility
Provide full clerical/ administrative support to the Adult Bladder and Bowel Specialist Service
Have a good working knowledge and experience of Microsoft Office
Have accurate keyboard skills and diligence when using SystmOne
Be responsible for answering and fielding telephone calls
Accurately collate and input data and produce statistics
Maintain diaries, make appointments, arrange meetings
Take accurate minutes/ notes of meetings
Undertake general office procedures
Implement and update office systems/procedures
Provide full administration support for the recruitment process
Work effectively as part of a team to provide cover
Accurately record and maintain systems for staff sickness, absence, and annual leave
Order stock and non-stock equipment
Be client-driven on behalf of the service
Maintain strict confidentiality
Plan / organise work using own initiative
Undertake any additional duties as appropriate
Requirements
Good working knowledge of Microsoft Office to include Outlook/ Word, Access and Excel
Experience of effectively using Systm One
Proven administrative experience
Experience of dealing with sensitive/ confidential information
Excellent communication skills and customer service experience with a variety of people
Experience in managing own workload to meet deadlines where appropriate
Understanding of confidentiality/ Data Protection
