We have an exciting opportunity for a part-time administrator to join our team in Grantham District Hospital Orthotics Department. The requirement for this role is two days per week, on a Tuesday and Wednesday. The role will involve providing comprehensive administrative support to a clinical team charged with the treatment of patients who require orthotic intervention. The role holder will be instrumental in creating a welcoming, organised and efficient service that supports the clinical team and helps patients feel informed, reassured and well cared for throughout their journey. By coordinating key administrative processes, maintaining accurate records, proving reception cover, supporting smooth communication and ensuring appointments and enquiries are managed effectively, the Administrator plays an important part in reducing delays, improving access to care and enabling clinicians to focus on delivering the best possible outcomes for patients. Although this role is predominantly based at Grantham District Hospital, there may be an occasional requirement to provide onsite cover at our other locations across the Lincolnshire contract.
Job Responsibility
Manage the reception area, ensuring it is clean, presentable, and secure (including visitor log and patient check-in)
Act as the positive first point of contact for Opcare, greeting and welcoming all patients and visitors in a helpful and friendly manner
Book in patients promptly and schedule further appointments as needed
Make, change, and monitor appointments in line with priority and KPIs
escalate capacity or breach risks to the appropriate Team Leader / Manager
Receive and make telephone calls to patients and healthcare professionals
Respond to emails professionally via Opcare reception mailboxes
Use initiative and logic to answer minor patient enquiries
Handle patient and confidential information in line with Data Security policies
Identify and escalate issues, propose solutions, and support efficient departmental operations
Work collaboratively with the wider team to communicate changes and resolve problems
Ensure compliance with ISO and internal quality systems
Support the team in delivering a high-quality service to patients
Process orthotic referrals (patient/supply/ward) via email or e-referral on REHAPP
Accurately add new patient details to REHAPP
Monitor patient referral status in line with RTT pathways
close referrals and escalate issues to clinicians and/or management
