Job Description

We are seeking a contract Administrative Support detail oriented to join a large-scale commercial construction project in Southwest Fort Wayne. This individual will play a critical front-line role supporting daily site operations, compliance, and documentation. This position offers a unique opportunity to gain exposure to both administrative functions and construction project coordination in a fast-paced, high-impact environment.

Job Responsibility

  • Serve as the front desk contact for the construction site office (connected mobile office trailers)
  • Welcome and register all site visitors, vendors, and new hires
  • Ensure completion of required documentation, authorizations, and compliance forms
  • Coordinate new hire onboarding, including paperwork and drug screen tracking (union environment)
  • Maintain organized and accurate records of all site documentation
  • Support project meetings by documenting updates, tracking progress, and managing records
  • Track and verify insurance and compliance documentation for subcontractors
  • Upload and manage documents within Procore (or similar construction management system)
  • Provide administrative support to project managers and field leadership

Requirements

  • Previous administrative experience required
  • construction or project support experience preferred
  • Exposure to construction environments, project coordination, or document control is a plus
  • Experience with Procore or similar systems is highly desirable
  • Strong organizational skills with attention to detail
  • Ability to manage multiple priorities in a fast-paced environment
  • Comfortable working in a job site setting (trailers, active construction environment)
  • detail oriented communication skills with the ability to interact with a wide range of individuals
