We are looking for a detail-oriented Administrative Support team member to provide essential operational and clerical assistance for a home health and hospice environment in Clearlake, California. This Long-term Contract position will support daily office coordination, patient record administration, referral processing, and communication across the department. The ideal candidate brings strong customer service skills, effective written and verbal communication, and the ability to manage multiple administrative priorities with accuracy and care.
Job Responsibility
Coordinate front-desk and administrative activities to ensure smooth daily department operations and a positive experience for patients, staff, and external partners
Maintain organized department files, reports, statistics, and office records while supporting accurate documentation and timely information flow
Process patient-related documentation, including medical records and associated administrative paperwork, with careful attention to confidentiality and completeness
Manage intake support tasks such as handling referrals, tracking insurance authorizations, and monitoring related follow-up activities
Oversee electronic medical record order workflows, including distributing, receiving, retrieving, and organizing required documentation
Prepare and distribute routine department materials such as memos, meeting agendas, minutes, reports, and other internal communications
Monitor office supply levels, equipment inventories, and selected departmental cost information to help maintain efficient business operations
Assist with research assignments, special projects, and other administrative initiatives as directed by department leadership
Requirements
High school diploma or equivalent preferred
Associate degree, technical training, or a comparable combination of education and related administrative experience preferred
Demonstrated ability to deliver strong customer service in a detail-oriented office, healthcare, or patient-facing setting
Experience handling clerical and receptionist responsibilities, including document management, communication, and general office support
Familiarity with referrals, insurance authorization processes, and medical or patient record administration is preferred
Working knowledge of electronic medical records systems and standard office software tools is preferred
Strong written and verbal communication skills with the ability to maintain a detail-oriented presence
Ability to manage multiple tasks, maintain accuracy, and support special projects in a fast-paced environment
