The Administrative Support Specialist provides comprehensive administrative and programmatic support for alumni engagement and membership initiatives. This role blends executive-level administrative support with coordination of membership programs, fundraising activities, and events. The ideal candidate is highly organized, detail-oriented, and comfortable managing multiple priorities in a fast-paced, development-focused environment.
Job Responsibility:
Coordinate the full membership lifecycle, including invitations, acquisition, onboarding, and retention efforts
Maintain accurate membership data and reporting in Salesforce
Support the development and execution of annual recruitment and retention strategies
Create donor and member communications such as solicitations, newsletters, and social media content
Oversee stewardship activities including acknowledgment letters, birthday cards, and recognition initiatives
Coordinate student scholar and faculty award programs
Monitor Daily Gift Reports and Marketing Cloud analytics to track engagement
Coordinate member courtesies and liaise with campus vendors as needed
Provide executive-level administrative support, including calendar management, meeting coordination, and travel arrangements
Support board operations by preparing agendas, materials, and presentations, and serving as a liaison with faculty
Maintain office and program inventory and assist with internal team coordination and workflows
Support the fundraising pipeline by scheduling prospect meetings and assisting with proposal preparation
Ensure data integrity in Salesforce through accurate updates, contact reporting, and biographic records
Track and report key metrics related to membership, fundraising, and engagement activities
Assist with planning and execution of events, including logistics, registration, signage, and post-event reporting
Coordinate sponsorship outreach and member engagement opportunities tied to events
Requirements:
Bachelor's degree in business, communications, or a related field, or equivalent professional experience
3–5 years of experience in development, membership programs, or executive administrative support roles
Proficiency with Salesforce, Microsoft Office Suite, and Marketing Cloud
Experience supporting events and board governance preferred
Familiarity with fundraising operations and stewardship best practices
Membership strategy and donor stewardship
