The Administrative Support Associate II plays a key role in ensuring smooth daily operations for the department/program/clinic. Working under general supervision, this position supports leadership and team members through a variety of moderately complex administrative tasks. The ideal candidate excels in organization, communication, and customer service, while maintaining strong working relationships across the Medical Center. This role supports scheduling, communication, document preparation, data organization, and overall departmental efficiency—all while contributing to a positive and collaborative work environment.
Job Responsibility:
Maintain leadership or departmental calendars, including appointments, meetings, activities, and travel arrangements
coordinate facilities and audiovisual needs
Screen, route, and prioritize incoming calls
provide detailed responses to requests for information and escalate issues as needed
Prepare routine to moderately complex correspondence, agendas, proposals, materials, schedules, reports, articles, and meeting minutes
ensure accuracy and proper formatting
Research and retrieve information for reports/projects, compile data, and present findings through tables, charts, graphs, or spreadsheets
Assist with business-related financial duties, including tracking accounts, generating reports, and supporting budget preparation
Prepare, process, and maintain operational records such as payroll, purchasing, and requisitions
Facilitate the billing processes for the center by coordinating documentation, supporting data accuracy, and collaborating with appropriate parties to ensure timely and accurate billing
Organize daily work activities to ensure timely completion of tasks
Resolve issues to enhance customer service and support positive departmental interactions
Create, organize, and maintain accurate electronic and physical filing systems
Support departmental communication to ensure information flows effectively
Maintain office inventory and supply levels
Perform other related duties as assigned
Requirements:
High school diploma or GED equivalent required
One year of related administrative experience preferred
Associate’s degree preferred
Excellent oral and written communication skills
Proficiency in Microsoft Office and Workday
Strong organizational skills and attention to detail
Comfort working with numbers and basic statistics
Strong customer service orientation
Ability to maintain confidentiality
