We are looking for an organized and personable Administrative Services Coordinator to join our team in Shepherdsville, Kentucky. This long-term contract position offers an excellent opportunity to provide front desk support and administrative assistance in a dynamic environment. The ideal candidate will have strong communication skills, a proactive attitude, and the ability to multitask efficiently.
Job Responsibility:
Oversee front desk operations, including greeting visitors and managing inquiries
Conduct cold calls to vendors to establish and maintain effective relationships
Handle various paperwork and ensure accuracy and timely completion
Perform general administrative tasks to support day-to-day operations
Utilize Microsoft Office Suite and other computer systems to manage documentation and communications
Assist with resolving customer complaints in a courteous and timely manner
Collaborate with internal teams to ensure smooth workflow and operational efficiency
Maintain and update records using Maximo or other content management systems
Provide exceptional customer service while managing multiple priorities
Ensure compliance with organizational policies and procedures
Requirements:
Minimum of two years of experience in administrative or front desk roles
High school diploma or equivalent education
Proficiency in Microsoft Office Suite and basic computer functions
Excellent communication skills and a friendly, approachable demeanor
Ability to multitask and prioritize tasks effectively
Strong organizational skills with attention to detail
Nice to have:
Familiarity with Maximo or similar systems is highly desirable
Experience in cold calling and vendor management is a plus
