Job Description

We are looking for an organized and personable Administrative Services Coordinator to join our team in Shepherdsville, Kentucky. This long-term contract position offers an excellent opportunity to provide front desk support and administrative assistance in a dynamic environment. The ideal candidate will have strong communication skills, a proactive attitude, and the ability to multitask efficiently.

Job Responsibility

  • Oversee front desk operations, including greeting visitors and managing inquiries
  • Conduct cold calls to vendors to establish and maintain effective relationships
  • Handle various paperwork and ensure accuracy and timely completion
  • Perform general administrative tasks to support day-to-day operations
  • Utilize Microsoft Office Suite and other computer systems to manage documentation and communications
  • Assist with resolving customer complaints in a courteous and timely manner
  • Collaborate with internal teams to ensure smooth workflow and operational efficiency
  • Maintain and update records using Maximo or other content management systems
  • Provide exceptional customer service while managing multiple priorities
  • Ensure compliance with organizational policies and procedures

Requirements

  • Minimum of two years of experience in administrative or front desk roles
  • High school diploma or equivalent education
  • Proficiency in Microsoft Office Suite and basic computer functions
  • Excellent communication skills and a friendly, approachable demeanor
  • Ability to multitask and prioritize tasks effectively
  • Strong organizational skills with attention to detail

Nice to have

  • Familiarity with Maximo or similar systems is highly desirable
  • Experience in cold calling and vendor management is a plus
