Job Description

We are looking for a detail-oriented Administrative Services Associate to join our team in Washington, DC. This contract position offers an opportunity to support daily operations, ensuring smooth administrative processes and assisting with property management tasks. The ideal candidate will be highly organized, attentive to detail, and comfortable working onsite alongside the management team.

Job Responsibility

  • Answer incoming calls and provide assistance or direct inquiries to the appropriate department
  • Welcome and assist guests in a courteous and detail-focused manner, ensuring visitor protocols are followed
  • Review, validate, and submit invoices for approval while addressing any discrepancies with relevant departments
  • Prepare and monitor purchase orders, ensuring accurate documentation and timely follow-up
  • Manage contract renewal tracking and support vendor communications for order fulfillment
  • Maintain and update databases, ensuring records are accurate and confidential files are properly organized
  • Utilize Microsoft Office Suite for daily tasks, including creating documents, spreadsheets, and presentations
  • Troubleshoot basic technical issues and navigate various systems and applications effectively
  • Collaborate with the management team to support ongoing administrative and property management needs
  • Ensure high standards of office productivity and organization are consistently maintained

Requirements

  • Strong communication skills with the ability to interact professionally with guests, vendors, and team members
  • Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint
  • Solid organizational abilities to manage multiple tasks and maintain accurate records
  • Familiarity with general computer operations and troubleshooting basic technical issues
  • Ability to handle guest reception duties with confidence and professionalism
  • Previous experience in administrative roles or property management is preferred but not required
  • A minimum of 0-2 years of relevant work experience
  • High attention to detail and a team-oriented mindset

  • Researches results from jobber short paying DC, identifies and passes on to RGN clerk to do further research into each deducted item
  • Distributes month end AR statement to stores. Stores can get statement from Storefront but may also mail or email
  • Maintains miscellaneous account for transactions where funds are received from outside and then paid for various activities
  • Generates report where info is plugged in by the DC for any store ARs that are past due (equal to or over $1000) and distributes to HQ
  • Reconciles the bank account that all deposits go in to from local depository account to HQ's bank account
