Job Responsibility:
Organising deliveries and coordinating the transfer of information and documents to external stakeholders
Liaise with courier companies and external stakeholders regarding deliveries and maintain accurate delivery records
Update and maintain delivery and correspondence trackers
Upload covering letters and correspondence to the Document Management System (DMS)
Create Helpdesk tickets for data uploads to the DMS
Support logistics for deliveries and document transfers to external stakeholders
Organise and coordinate meeting rooms and internal training sessions
Provide administrative support including photocopying, filing, and general office duties
Act as a main contact point for the team, managing communications and distributing correspondence appropriately
Provide direct administrative support to the Chairman and Senior Legal Team
Monitor and manage the UCPI Inquiry inbox, ensuring emails and queries are directed to the correct teams
Maintain office supplies and stationery orders
Provide flexible administrative support across workstreams to ensure the smooth running of the Inquiry
Requirements:
Organising and managing effectively to achieve desired results/outcomes
Regularly processing complex & varied information and managing that information accurately and in the required format
Able to work effectively both independently and flexibly as part of a team
IT Skills - Previous experience of using Microsoft Office packages, specially Word, Excel, PowerPoint, Outlook and Sharepoint
You must hold a valid passport and must have lived in the UK for longer than 3 years. Please note that period of 6 months or longer spent outside of the UK in the last 3 years will unfortunately not be accepted. This role requires security clearance that will be processed for you, if successful
Nice to have:
Writing Skills - Ability to draft reports, recommendations and meeting minutes
Previous experience of working in Business Assurance or Procurement environment
