Job Description

Our client is an established and growing commercial company looking for a dynamic and structured Administrative & Office Assistant to support their management and daily operations. In this central role, you will ensure the smooth running of our office while providing vital support to the business owner and the internal team. We are seeking a proactive professional who communicates effectively and thrives in a fast-paced environment.

Job Responsibility

  • Supervise daily office workflows to ensure maximum efficiency
  • Draft, process, and follow up on client quotes, invoicing, and shipping documents
  • Manage incoming supplier orders and track customer purchases
  • Organise and update digital and physical archiving systems
  • Act as the main point of contact for clients via telephone and email
  • Deliver professional, clear, and timely responses to all inquiries
  • Address customer requests and direct complex issues to the appropriate internal contact
  • Assist the business owner and staff members with daily administrative tasks
  • Compile summaries, action lists, and briefing notes for the management
  • Help coordinate team schedules, annual leave, and time-off requests
  • Facilitate internal communication to maintain a cohesive work environment

Requirements

  • At least 5 years of experience in office administration, secretarial work, or executive assistance
  • Successful track record in customer service or office coordination
  • Previous experience in the retail, trade, or commercial sector is considered an asset
  • Excellent command of MS Office (Word, Excel, PowerPoint, Outlook)
  • Good knowledge of billing software and CRM platforms
  • Comfortable using modern workplace collaboration tools (Teams, Slack, etc.)
  • Top-tier organizational skills with the ability to multitask effectively
  • Strong verbal and written communication skills
  • Autonomous, reliable, and solution-driven mindset
  • High level of discretion and professional integrity
  • Fluency (written and spoken) in German, Luxembourgish, French, and English are mandatory

Nice to have

Previous experience in the retail, trade, or commercial sector is considered an asset
