Job Description

As part of our client's team expansion, they are currently recruiting an French-fluent Administrativo for their offices in Lisbon. Key responsibilities include Personal Data Management & Long Service Awards, Company Car & Transportation Allowance Management, Intern & Temporary Worker Management, and Time, Attendance & Medical Leave Management.

Job Responsibility

  • Approve personal data changes in Workday and ensure the HR database is accurate
  • Issue employment statements and work certificates
  • Handle DPAE
  • Manage Long Service Awards: validate diplomas/certificates from French prefectures, organize files in Google Drive, and send the data for payroll processing twice a year
  • Answer employee queries via email or the ticketing system
  • Identify on a monthly basis which employees are eligible for a company car
  • Input values and transport allowances into SAP for payroll processing
  • Validate public transport receipts and requests for IKV
  • Onboard new interns and temporary workers into the tools (Workday and SAP)
  • Manage specific French contracts, such as sandwich courses (alternance) and CQPM
  • Monitor renewals, contract amendments, and terminations
  • Send attendance and payroll data to external temporary work agencies
  • Record absences, overtime, and working schedules in SAP
  • Receive and analyze medical leave certificates, maternity leave, and workplace accidents, ensuring compliance with data protection regulations (GDPR)
  • Extract "time alert" reports (clock-in/out anomalies) and contact managers or employees to resolve the issue
