As part of our client's team expansion, they are currently recruiting an French-fluent Administrativo for their offices in Lisbon. Key responsibilities include Personal Data Management & Long Service Awards, Company Car & Transportation Allowance Management, Intern & Temporary Worker Management, and Time, Attendance & Medical Leave Management.
Job Responsibility
Approve personal data changes in Workday and ensure the HR database is accurate
Issue employment statements and work certificates
Handle DPAE
Manage Long Service Awards: validate diplomas/certificates from French prefectures, organize files in Google Drive, and send the data for payroll processing twice a year
Answer employee queries via email or the ticketing system
Identify on a monthly basis which employees are eligible for a company car
Input values and transport allowances into SAP for payroll processing
Validate public transport receipts and requests for IKV
Onboard new interns and temporary workers into the tools (Workday and SAP)
Manage specific French contracts, such as sandwich courses (alternance) and CQPM
Monitor renewals, contract amendments, and terminations
Send attendance and payroll data to external temporary work agencies
Record absences, overtime, and working schedules in SAP
Receive and analyze medical leave certificates, maternity leave, and workplace accidents, ensuring compliance with data protection regulations (GDPR)
Extract "time alert" reports (clock-in/out anomalies) and contact managers or employees to resolve the issue
