We are looking for an Administrative Coordinator to support daily office operations and deliver responsive service to both internal teams and external customers. Job Responsibility:
Serve as a primary point of contact for callers, visitors, and internal stakeholders by providing courteous, timely, and solution-focused support
Handle customer concerns with care, using tact and sound judgment to resolve issues and reduce conflict
Perform a range of office support duties such as document preparation, scanning, mailing, fax coordination, and accurate record entry
Review, complete, and update forms and related documentation within designated systems to maintain accurate operational records
Assist with accounts receivable activities by checking service authorizations for accuracy and coordinating follow-up corrections as needed
Manage scheduling, calendar updates, and related administrative coordination to support smooth day-to-day operations
Organize and maintain digital files and records to ensure documents are easy to access, current, and properly stored
Follow company policies, regulatory expectations, and established procedures while maintaining confidentiality and attention to detail
Requirements:
Previous experience in administrative support, office coordination, or a similar business support role
Strong customer service skills with the ability to communicate clearly and professionally by phone, email, and in person
Proficiency with common office technology and software, including Microsoft Excel, Adobe, DocuSign, CRM platforms, and digital document management tools
Ability to manage multiple priorities, maintain organized records, and meet deadlines with minimal supervision
Demonstrated problem-solving skills and confidence in making sound decisions in day-to-day administrative situations
Experience with scheduling, calendar coordination, inbound call handling, and data entry
High level of accuracy when reviewing documents, processing information, and supporting financial or authorization-related tasks
Willingness to learn new processes, participate in training, and maintain knowledge needed to support workflow effectively
