We are looking for an organized and proactive Administrative Coordinator to join our team in Saint Paul, Minnesota. In this role, you will play a vital part in supporting office operations, managing events, and supervising staff to ensure smooth and efficient activities across campus locations. This is a long-term contract position, offering the opportunity to contribute to a dynamic university environment while honing your administrative and leadership skills.
Job Responsibility:
Schedule event reservations across campus locations, ensuring proper allocation of resources and maintaining accurate records
Collaborate with event hosts to identify needs and provide comprehensive planning support
Develop a thorough understanding of building policies, procedures, and amenities to assist ambassadors and event clients effectively
Participate in mandatory staff meetings and training sessions, contributing agenda items and actively engaging in discussions
Provide on-site staffing at events to ensure smooth operations, addressing any issues that arise during setup or execution
Communicate professionally with guests and service providers, representing the university in a positive manner
Support large-scale university events, such as Commencement, Convocation, and external functions
Lead and mentor Event Ambassador staff, serving as their main point of contact for questions and support
Plan and conduct training sessions for new ambassadors, monitoring their progress and offering continuous guidance
Assist with staff scheduling and oversee ambassadors to ensure job expectations are met
Requirements:
Strong interpersonal skills with the ability to work effectively with diverse groups of people
Adaptability and problem-solving skills to manage unexpected challenges during events
Proficiency in managing multiple tasks and prioritizing responsibilities in a fast-paced environment
Demonstrated leadership qualities with the ability to mentor and guide team members
Excellent communication skills, both verbal and written, for interacting with clients, staff, and supervisors
Familiarity with event planning tools and willingness to learn new systems
Commitment to maintaining professionalism and a positive attitude in all interactions
Nice to have:
Experience in event coordination is preferred but not required
