Job Description:

We are looking for a highly organized and meticulous Administrative Coordinator to join our team in Fort Wayne, Indiana. This Contract-to-Permanent position offers an excellent opportunity to support technical teams by managing administrative tasks and ensuring smooth operations. The role requires a proactive approach, the ability to adapt quickly, and a commitment to delivering high-quality work.

Job Responsibility:

  • Coordinate and manage scheduling for meetings, trainings, and projects to ensure efficient workflows
  • maintain and update databases, tracking project progress and ensuring all records are accurate and accessible
  • provide exceptional customer service while addressing inquiries and resolving issues in a timely manner
  • assist technical teams by handling administrative tasks and ensuring all necessary documentation is completed
  • facilitate both virtual and in-person training sessions for team members, ensuring all logistics are handled seamlessly
  • communicate effectively with team members and leadership, providing updates on administrative processes and project timelines
  • support the integration of processes across different teams, ensuring consistency and alignment
  • adapt to evolving priorities by learning new systems and processes swiftly and asking relevant questions when needed
  • collaborate with colleagues to maintain a positive and productive work environment
  • ensure compliance with organizational policies and procedures while handling sensitive information

Requirements:

  • Proven experience in administrative roles, showcasing strong organizational and multitasking abilities
  • proficiency in customer service and the ability to build positive relationships
  • familiarity with scheduling tools, project tracking, and database management
  • ability to work effectively with technical professionals and adapt to their needs
  • strong communication skills, including the ability to interact with individuals across all levels of the organization
  • detail-oriented mindset with the ability to catch errors and ensure accuracy
  • comfortable with both virtual and in-person collaboration tools, such as Webex
  • resilience and professionalism when working with strong personalities in a fast-paced environment
