Job Description

We are looking for an Administrative Coordinator to support daily office operations and provide dependable administrative assistance for a non-profit team in California. This contract-to-permanent opportunity is ideal for someone who is organized, responsive, and comfortable managing multiple priorities in a fast-paced environment. The person in this role will help keep schedules on track, serve as a reliable first point of contact for incoming calls, and ensure administrative processes run smoothly.

Job Responsibility

  • Manage day-to-day administrative activities to support efficient office and team operations
  • Respond to inbound calls courteously, direct inquiries appropriately, and relay accurate messages in a timely manner
  • Coordinate calendars for team members, including arranging meetings, appointments, and schedule updates
  • Organize and confirm scheduling details to help maintain smooth coverage and timely communication
  • Prepare, update, and maintain administrative records, documents, and routine correspondence as needed
  • Support the home health team by tracking priorities, following up on outstanding items, and assisting with general office coordination

Requirements

  • Previous experience in an administrative support or administrative coordinator role
  • Strong ability to handle inbound phone communication with professionalism and courtesy
  • Experience managing calendars, appointments, and schedule changes with accuracy
  • Comfortable working in a fast-paced environment while balancing multiple tasks and deadlines
  • Strong organizational skills and close attention to detail
  • Clear written and verbal communication skills
  • Experience supporting healthcare or home health operations is preferred
