We are looking for an Administrative Coordinator to support project and office operations for a home building organization in Knoxville, Tennessee. This Long-term Contract position is well suited for a highly organized, detail-oriented individual who can keep documentation current, monitor deadlines, and coordinate communication across multiple active projects. The role requires strong attention to detail, sound judgment when handling records and updates, and the ability to stay effective in a fast-moving environment.
Job Responsibility
Coordinate daily administrative activities that support multiple home building and construction projects at the same time
Maintain accurate electronic records for project files, permits, insurance materials, and other compliance-related documentation
Monitor task progress, key milestones, and upcoming due dates through Microsoft Planner and related tracking tools
Prepare and distribute reports, spreadsheets, written updates, and project communications for internal teams and external partners
Assist with organizing timelines, follow-up items, and deliverables to help projects stay on schedule
Review documentation for completeness and accuracy, addressing discrepancies and escalating issues when needed
Support smooth communication between departments by keeping project information updated and accessible
Complete administrative processes promptly while managing a high volume of data entry and status tracking across multiple systems
Requirements
At least 2 years of experience in administrative support, project coordination, or a related office-based role
Demonstrated ability to manage multiple priorities with strong attention to detail and dependable follow-through
Proficiency with Microsoft Office tools, including Excel, Outlook, Teams, and Planner
Experience maintaining organized documentation, trackers, and electronic filing systems
Familiarity with compliance records, project documentation, and status reporting
Working knowledge of accounting or business software used to monitor updates and support administrative workflows
Strong written and verbal communication skills with the ability to collaborate across cross-functional teams
Ability to work independently, resolve routine issues efficiently, and remain organized in a fast-paced setting
