We are seeking a reliable and organized Administrative Coordinator for a part-time position, working Monday through Friday from 2:30 PM to 6:30 PM. This long-term contract role includes supporting a variety of administrative tasks to help maintain smooth office operations and provide excellent service to staff and visitors. The ideal candidate will have strong communication skills, pay close attention to detail, and be able to handle multiple tasks efficiently.
Job Responsibility:
Welcome and assist office visitors, ensuring a detail-oriented and friendly experience
Manage the distribution and receipt of mail and packages
Organize and maintain both physical and digital filing systems
Draft, edit, and distribute documents and communications as required
Prepare and send client packets while verifying accuracy and completeness of information
Coordinate scheduling, manage calendars, and assist with meeting preparations
Monitor and replenish office supply inventory as needed
Perform accurate data entry tasks, as well as scanning and copying of documents
Collaborate with other departments to provide administrative support for various tasks
Requirements:
Minimum of 2 years of experience in an administrative or office support role
Proficiency in Microsoft Excel and other common office software
Strong skills in client engagement and communication
Excellent organizational and multitasking abilities
Attention to detail and accuracy in all tasks
Ability to work independently and adapt to changing priorities
Proven experience in maintaining confidentiality and professionalism
Nice to have:
Familiarity with e-commerce operations is a plus
