We are looking for a detail-oriented Administrative Coordinator to support daily office operations and create a welcoming, detail-oriented experience for employees and visitors. Job Responsibility
Welcome visitors and staff at the front desk, manage site access procedures, and ensure identification requirements are consistently followed
Coordinate office administrative activities across three locations, including maintaining shared spaces such as kitchens and restrooms and arranging for needed supplies
Monitor inventory levels and place orders for office and facility materials to keep daily operations running smoothly
Support company events and internal gatherings by assisting with logistics, tracking plans, and helping manage related budgets and planning documents
Maintain spreadsheets and administrative records with a high degree of accuracy to support reporting, organization, and committee-related work
Process routine expense documentation by matching receipts to card transactions, organizing records, and preparing items for submission
Assist with scheduling and general coordination tasks that help teams stay organized and on track with day-to-day priorities
Requirements
At least 2 years of experience in an administrative, office coordination, or front desk support role
Strong attention to detail and the ability to maintain accurate records in a compliance-focused environment
Effective organizational and communication skills, with a detail-oriented and approachable presence
Proficiency with Excel, including working within existing spreadsheets and using basic formulas and calculations
Experience handling administrative support tasks such as scheduling, answering incoming calls, and coordinating office needs
Ability to manage multiple priorities across different sites while maintaining consistency and follow-through
Interest in long-term growth and a proactive mindset toward taking on additional responsibility
