Job Responsibility:
Coordinate maintenance schedules and ensure timely execution of work orders
Respond to inbound calls and address inquiries with a customer-focused approach
Manage calendars and prioritize appointments to maintain smooth operations
Oversee billing processes and ensure accuracy in invoicing
Utilize property management software such as Yardi and AppFolio to track tasks and maintain records
Collaborate with team members to streamline administrative processes and improve efficiency
Handle customer service requests and provide clear communication to stakeholders
Maintain organized records and documentation for all administrative activities
Support the front desk by managing correspondence and greeting visitors
Monitor ongoing projects to ensure deadlines are met and quality standards upheld
Requirements:
Proven experience in administrative assistance or a similar role
Proficiency in handling inbound calls and providing excellent customer service
Strong organizational skills with the ability to manage calendars and schedules
Familiarity with property management systems such as Yardi and AppFolio
Ability to handle billing tasks with attention to detail and accuracy
Excellent communication skills, both written and verbal
Experience in commercial property management is a plus
Competence in multitasking and prioritizing in a dynamic work environment
