We are looking for an Administrative Coordinator to support business development and marketing efforts for a growing organization in Wheeling, Illinois. This Contract to Permanent position is ideal for someone who enjoys keeping events, schedules, and communications organized while helping teams stay connected and prepared. The person in this role will contribute to outreach initiatives, coordinate key activities, and provide administrative support that strengthens day-to-day operations.
Job Responsibility
Plan and organize participation in conferences, trade events, networking gatherings, and client-facing functions from initial scheduling through post-event follow-up
Oversee registration details, partnership arrangements, exhibit coordination, branded materials, and event timelines to ensure each opportunity is executed smoothly
Provide administrative support to business development team members by arranging meetings, managing calendars, and helping track next steps with contacts and partners
Assist with the preparation of marketing content such as presentations, flyers, social media materials, and other promotional pieces that support outreach efforts
Serve as a point of coordination with associations, vendors, referral sources, and event contacts to keep communication timely and well organized
Monitor important dates including renewals, membership deadlines, partnership commitments, and upcoming opportunities that support business growth
Prepare summaries and reporting that help leadership review activity levels, monitor pipeline progress, and evaluate business development performance
Maintain organized marketing files, shared resources, and reference materials so teams can easily access current assets and information
Answer inbound calls and support general administrative tasks that help the office and business development function operate efficiently
Requirements
Prior experience in administrative support, coordination, or a similar office-based role
Strong calendar management and scheduling skills with the ability to handle multiple priorities and deadlines
Comfortable supporting events, meetings, and communications with both internal teams and external partners
Ability to answer inbound calls professionally and provide responsive administrative assistance
Experience creating or coordinating presentations, promotional materials, or related marketing support items
Strong organizational skills with close attention to detail and accurate follow-through on tasks
Proficiency with standard business software and the ability to manage shared documents, reports, and tracking tools
Experience in home health or a related healthcare environment is preferred
