Proactively manage and coordinate complex, high-volume calendars of the various team members, scheduling internal and external meetings, conference calls, and other interactions with meticulous attention to detail
Coordinate internal and external meeting logistics, ensuring all participants have necessary materials and technical support
Serve as a primary point of contact for external partners and grantees regarding scheduling and logistics
Organize and book comprehensive domestic and international travel arrangements, including airfare, lodging, and ground transportation
Process expense reports with high attention to detail
Collaborate with cross-functional teams to streamline communication and assist with successful delivery of Quest projects as needed
Contribute to special projects as needed, such as event planning for internal and external events

Requirements:
Bachelor’s degree preferred, or equivalent professional administrative experience
5+ years of experience in an administrative support role, ideally supporting multiple team members
Proven track record of success in managing high-stakes scheduling and complex travel logistics for teams
Strong communication and interpersonal skills, with the ability to interact professionally with diverse stakeholders
Excellent proactive problem-solving and analytical abilities to resolve scheduling conflicts and logistical hurdles
Exceptional organizational skills and the ability to work both independently and as part of a team in a fast-paced environment
Ability to demonstrate initiative and resourcefulness
Proficiency in Gmail, including Google Calendar, Microsoft Office Suite applications and Google Drive applications
Discretion and confidentiality in handling sensitive information and maintaining a high level of professionalism
