We are looking for a detail-oriented Administrative Coordinator to support Public Works operations in South Gate, California. This Contract position is ideal for someone who can manage administrative workflows, coordinate communications, and help keep departmental activities organized in a local government environment. The role requires strong follow-through, sound judgment, and the ability to handle multiple priorities while supporting staff, records, and public-facing processes.
Job Responsibility:
Coordinate daily administrative activities for the Public Works team, ensuring documents, schedules, and department communications are organized and up to date
Prepare, review, and distribute correspondence, reports, meeting materials, and other records needed to support departmental operations
Maintain filing systems, databases, and tracking logs to support accurate recordkeeping and timely retrieval of information
Serve as a point of contact for internal staff, vendors, and members of the public by responding to inquiries and directing requests appropriately
Schedule meetings, manage calendars, and assist with agendas, follow-up items, and general coordination for department activities
Support invoice processing, purchase documentation, and other routine clerical tasks in accordance with public sector procedures
Assist with updating administrative processes, forms, or records when departmental workflows or systems change
Monitor deadlines and help ensure required documents, approvals, and submissions are completed on time
Requirements:
At least 2 years of administrative coordination or office support experience, preferably in Public Works, municipal services, or a government setting
Working knowledge of administrative practices, record maintenance, and office coordination in a detail-focused environment
Ability to communicate clearly and effectively with staff, community members, and external partners
Strong organizational skills with the ability to manage multiple assignments and shifting priorities effectively
Proficiency with standard office software, including word processing, spreadsheets, email, and document management tools
High level of accuracy and attention to detail when handling records, correspondence, and routine administrative tasks
Ability to work independently while also collaborating effectively with a team
Experience supporting Public Works-related functions is preferred
