Job Description:

Robert Half is seeking a proactive and detail-oriented Administrative Coordinator to support organizational processes and ensure seamless day-to-day operations. This role involves handling administrative tasks, coordinating team activities, and ensuring smooth communication across departments. The ideal candidate will possess exceptional organizational skills, strong accountability, and the ability to manage competing priorities in a fast-paced environment.

Job Responsibility:

  • Serve as the central point of contact for administrative processes, providing support across departments as needed
  • Manage departmental calendars, schedule meetings, prepare agendas, and ensure timely follow-up on tasks
  • Organize and maintain files, records, and other company documents, ensuring accuracy and easy accessibility
  • Prepare reports, presentations, and materials for meetings or projects
  • Coordinate communication between staff, teams, and external vendors or stakeholders
  • Assist with event planning, office supply management, and other administrative functions as requested
  • Track budgets, expenses, and invoices, ensuring timely processing and compliance with company policies
  • Provide project management support for internal initiatives, ensuring deliverables are achieved on time and within scope

Requirements:

  • Minimum of 2 years of administrative or coordinator experience
  • High school diploma required
  • associate or bachelor's degree in Business Administration or related field preferred
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook)
  • Familiarity with project management tools (e.g., Trello, Asana, or Monday.com)
  • Ability to multitask, prioritize, and maintain attention to detail in dynamic environments
  • Excellent verbal and written communication abilities to interact effectively with internal staff and external clients

Nice to have:

  • Administrative Assistant Certification, CAP, or Microsoft Office Specialist certifications
  • Previous experience coordinating projects or supporting cross-functional teams
  • Ability to assess issues, propose solutions, and lead initiatives to completion
