We are looking for an Administrative Coordinator to support healthcare education initiatives in Minneapolis, Minnesota. This long-term, part-time (20 hours/week) contract position is ideal for someone who thrives in a fast-paced environment, can manage shifting priorities, and keeps teams aligned on timelines and deliverables. The role will coordinate schedules, prepare meeting materials, communicate with speakers and stakeholders, and help move content through review and approval stages. Success in this position requires strong customer service, sound organizational judgment, and the ability to work effectively with minimal direction.
Job Responsibility
Organize calendars, schedule meetings, and distribute invitations to ensure participants are prepared and timelines stay on track
Create and circulate agendas, capture key follow-up items, and help maintain momentum across education-related projects
Coordinate the flow of content through review processes, ensuring materials are shared with the right stakeholders at the appropriate time
Communicate with speakers, internal partners, and cross-functional teams to confirm details, gather information, and resolve scheduling conflicts
Track deadlines, monitor progress, and provide reminders so deliverables are completed according to established timelines
Support project coordination activities by maintaining accurate documentation, updating status information, and assisting with day-to-day administrative operations
Deliver responsive customer service when handling inquiries, requests, and administrative needs from internal and external contacts
Use tools such as Outlook and Microsoft Office to manage correspondence, schedules, reports, and presentation materials
Adapt to changing priorities and ambiguous situations while keeping work organized and stakeholders informed
Requirements
At least 2 years of experience in an administrative coordination, executive support, or project support role
Demonstrated ability to manage complex scheduling, calendar oversight, and meeting logistics in a busy environment
Strong written and verbal communication skills, with experience interacting effectively with speakers, clients, or cross-functional teams
Background in customer service with the ability to respond promptly and maintain a detail-oriented, helpful approach
Proficiency with Outlook and Microsoft Office applications

Ability to handle multiple priorities, stay organized under pressure, and work effectively in situations with limited structure
Experience supporting healthcare, health education, or related administrative functions is preferred
Availability to work in a hybrid setting in Minneapolis, Minnesota, including in-office presence on Tuesdays and Wednesdays
