We are looking for an Administrative Coordinator to join a medical device organization in Centennial, Colorado in a contract role with permanent potential. This position supports a small, collaborative office by handling essential administrative and sales support activities that keep daily operations running efficiently. The ideal candidate is highly organized, attentive to detail, and comfortable managing order processing, invoicing, and cross-functional coordination in a fast-paced environment.
Job Responsibility:
Support the sales team with day-to-day administrative work that helps maintain efficient office operations and timely customer service
Manage customer orders from intake through completion by reviewing shared communications, coordinating shipment preparation, and ensuring accurate billing
Prepare shipping documentation and labels for outgoing products, including sterile drapes and related surgical accessory orders tied to scheduled procedures
Enter purchase orders, product details, and pricing information into internal platforms and vendor portals with a strong focus on accuracy
Create and update quotes for customized product configurations within company systems to support sales activities
Assist with invoice preparation and provide administrative support for vendor setup and related accounting tasks
Organize and maintain digital and physical records so documents remain accessible, complete, and audit-ready
Work closely with sales, accounting, service, and leadership teams to complete shared administrative assignments and special projects
Follow established workflows independently while stepping in proactively to help wherever needed in a small office environment
Requirements:
At least 2 years of experience in administrative support, office coordination, sales support, or a related function
Strong attention to detail with the ability to track multiple tasks and complete work thoroughly without missing key steps
Proficiency with Microsoft Office applications, especially Excel, and comfort learning business systems such as Acumatica
Experience with order entry, invoicing, data entry, filing, and customer-facing administrative processes
Ability to communicate professionally by phone and email with customers, vendors, and internal teams
Proven ability to learn quickly, take initiative, and contribute effectively in a hands-on team setting
Nice to have:
Background supporting customer service, scheduling, office administration, or order fulfillment activities is preferred
Experience in the medical device industry or another regulated product environment is a plus
