We are seeking a highly organized, detail-oriented, and proactive Administrative Coordinator to support the daily operations of our CBCT reporting service.
Job Responsibility
Provide administrative support to ensure the efficient operation of the office
Manage daily correspondence and respond to routine inquiries
Assign duties to team members and monitor team performance
Manage referrals and CBCT case submissions from dental clinics
Coordinate workflow between referring offices and the reporting team
Follow up with clinics regarding missing information or incomplete referrals
Monitor report turnaround times and track case progress to ensure timely delivery of reports
Handle client inquiries regarding report status and delivery
Build and maintain positive professional relationships with referring offices
Prepare invoices, process payments, and maintain client accounts
Follow up on outstanding accounts and unpaid invoices
Maintain client databases and contact lists
Archive completed reports and imaging records
Requirements
Excellent organizational and time-management skills
Strong verbal and written communication skills
Proficiency in Microsoft Office and general office software
Ability to multitask and work independently in a fast-paced environment
Strong attention to detail and problem-solving skills
Previous administrative, customer service, or dental office experience is required
