We are looking for a contract-based Office Reception & Coordinator. You will be responsible for delivering a positive and welcoming experience for all employees and visitors, managing day-to-day office operations, supporting events and programs, and assisting the Facilities and Workplace Services Manager in maintaining a best-in-class workplace.
Job Responsibility:
Greet all employees, candidates, and visitors professionally
Create an inviting atmosphere aligned with company values
Offer amenities such as water and luggage storage to visitors
Ensure visitors understand their next steps
Maintain the front desk and lobby area to high standards of cleanliness and organization
Collect feedback from Facilities and Workplace Services Manager monthly
Support internal customers (employees) by keeping all office, wellness, pet, and parent-related supplies stocked and organized
Serve as the primary conference room coordinator, resolving scheduling conflicts within 24 hours
Communicate office updates, perks, and event info across all buildings via flyers, Slack, The Hub, etc
Respond to general office inquiries within 30 minutes
Maintain timely, bi-weekly feedback loops and meet operational deadlines
Assist with the Facilities Ticketing System by assigning tickets within 90 minutes to appropriate team members
Ensure timely ticket responses (within 90 minutes of assignment) and close tickets with documented outcomes
Monitor facility issues and proactively suggest creative solutions to improve employee experience on a monthly basis
Support planning and execution of office holiday celebrations, staff events, and decorations
Measure success through monthly feedback and adherence to event timelines
Direct food deliveries based on the Food & Beverage calendar
Relay kitchen complaints to Food & Beverage Managers within 10 minutes
Run daily Coffee Metrics Report and update spreadsheets accordingly
Assist with creating engaging F&B communications using Canva
Organize employee communications and invitations for onsite perks
Track program success via employee participation and manager feedback
Requirements:
Prior experience in office administration or reception preferred
Strong verbal and written communication skills
High attention to detail and organizational ability
Ability to manage multiple priorities and deadlines
Customer-focused mindset with a friendly disposition
Comfortable with technology for scheduling, communications, and ticketing systems
Ability to work both independently and collaboratively
