We are looking for a detail-oriented Administrative Coordinator to join our team in Grand Rapids, Michigan. In this long-term contract role, you will play a key part in supporting administrative functions such as invoicing, data entry, and customer service. This position offers a great opportunity for individuals with strong organizational skills and a background in administrative assistance to contribute to the efficient operation of our team. This is 100% onsite, M-F 8am-4:30pm.
Job Responsibility:
Perform accurate data entry tasks, ensuring information is complete and error-free
Manage and process customer invoices efficiently and in a timely manner
Provide administrative support by organizing schedules and dispatching assignments
Respond to inbound calls, addressing inquiries and providing excellent customer service
Collaborate with team members to ensure accurate and prompt completion of assignments
Review completed work for errors, duplicates, and omissions, obtaining additional information as needed
Prepare and submit daily reports to maintain operational transparency
Assist with documentation requests from corporate entities and maintain records effectively
Support data migration efforts, integrating paper files into new systems
Execute company procedures to optimize operational efficiency and system controls
Requirements:
High School Diploma or GED required
1-3 years of administrative experience in a sales or service-related industry
Proficiency in Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint
Ability to read and interpret documents, policies, and procedures in English
Strong organizational skills and attention to detail
Excellent oral and written communication skills
Ability to analyze data and solve problems effectively
Skilled in scheduling, dispatching, and prioritizing tasks
