As a high-level administrative assistant, you will act as the central pivot of the organization. Your role will consist of streamlining interactions between management, financial managers, and a diverse clientele ranging from SMEs to government organizations. Job Responsibility:
Overseeing the client experience by ensuring rigorous follow-up of requests until full resolution
Steering the technical coordination of buildings, including the management of purchase orders, preventive inspections, and general maintenance
Acting in direct support of the Property Manager for the planning of renovation, development, or construction projects
Ensuring the integrity of the internal database and real estate registries to guarantee reliable information at all times
Taking charge of the administrative component related to the management cycle: drafting notices, preparing inspection reports, and supporting permit applications
Collaborating on legal compliance by reviewing leases, rental offers, and professional service contracts
Actively participating in the marketing of vacant spaces through optimized distribution strategies
Requirements:
Academic background (College Diploma or higher) in business administration, property management, or finance
Confirmed experience of 5 to 7 years in an administrative role related to commercial real estate or construction
Advanced technical expertise with the Microsoft 365 suite
Operational mastery of the HOPEM property management software
Perfect mastery of French and functional English for communications outside of Quebec
Superior organizational skills allowing you to navigate a multi-tasking environment
High level of autonomy and intellectual curiosity to master the technical aspects of the field
Exemplary rigor in processing contractual and financial documents
An ability to communicate diplomatically and effectively with various stakeholders
